The above base pay range may vary depending on location, job-related knowledge, skills and experience. The range listed is just one component of Wayfair’s total compensation package for employees. Site Administrator
Location: Richmond, BC, Canada | Job Type: Full-time | Salary Range: $55,384 - $62,006 per year
- Plan, organize, and execute employee engagement activities, including monthly celebrations, Wayday, and Peak season events.
- Create and update promotional materials such as flyers, engagement boards, and digital signage.
- Manage recognition programs, including birthday and anniversary celebrations, employee/supervisor of the month awards, and gift card distribution.
- Facilitate site team meetings; including presentation preparation, logistics, and coordinating leadership updates.
- Manage team feedback boards; collecting responses, following up with leaders, and updating communication boards.
- Foster a positive and inclusive workplace culture through various communication channels.
- Assist with contingent worker administration, including creating job requisitions, entering new hires.
- Maintain employee data in Org Browser, including updating T-shirt sizes and uploading photos.
- Assist with contingent worker and new hire onboarding processes.
- Oversee general office upkeep, ensuring a clean, organized, and functional workspace.
- Manage inventory and ordering of office, pantry, and warehouse supplies.
- Coordinate with and manage onsite vendors (e.g., security, cleaning services, food vendors, maintenance).
- Handle various miscellaneous administrative tasks and run errands as needed for the facility.
- Manage the building's budget and financial tracking related to office operations.
- Prep/manage executive /Leadership visits (Including but not limited to, room bookings / comms / Food and beverage / Access, etc.)
- Navigate PO systems, track payments, and submit financial inquiries.
- Track and submit credit card expenses (e.g., Coupa) and assist with expense reports.
- Site Budget Tracking (ER) and Coupa PO Audits.
- Manage visitor requests and approvals via service systems.
- Provide comprehensive visitor support (office space, meals, on-site needs).
- Arrange and book associate and leadership travel (flights, hotels, rentals) as needed.
- Manage employee badging: printing, reissuing, photo upload (Lenel), and deactivation.
- Grant and manage badge access for visitors and outsourced labor.
- Support Safety month engagement activities.
- Maintain various trackers and logs (e.g., liquidations, VOA responses, mail statements).
- Organize and prepare materials for daily meetings and internal updates.
- Attend team meetings and business reviews, providing input and taking minutes.
- Support special projects and assist departments with administrative needs as needed.
- High School diploma or equivalent.
- Previous experience within a warehouse, logistics, distribution, or related environment.
- Computer skills: Must be proficient with word processing, spreadsheets and creating presentations and experienced with HR, Payroll, Purchase Order (PO) and building access tools (Lenel, Workday, Coupa and VNDLY are a plus).
- Experience with employee engagement initiatives and fostering a positive, collaborative workplace culture.
- Ability to work in both an office and a warehouse environment.
- The ability to stand, walk, bend, lift, and work a full shift (8+ hours a day) in a dynamic, non-climate-controlled warehouse environment.
- Occasional flexibility is required during peak seasons (early mornings, evenings, or weekends) to support engagement across all shifts.
- Literacy & Communication: Ability to analyze and execute instructions of varying complexity—from simple correspondence to technical manuals and diagrams—in English.
- Adaptive Problem Solving: Strong critical thinking skills to resolve practical problems and manage variables in both standardized and unpredictable situations.
- Priority Management: Exceptional organizational skills to manage multiple projects, deadlines, and competing priorities effectively.
- Discretion: High level of integrity and discretion when handling confidential information.
- Excellent communication skills and the ability to communicate clearly in English (verbal and written).
